Who can have this access?

This level of access is recommended for staff who require view access to HR information for all employees within an organisation unit.

Who can approve this level of access?

The access must be approved by the:

  • School Manager
  • Head of School
  • Faculty Executive Manager
  • Deputy Director (Operations)

The attendance of a training course is not a prerequisite for gaining this level of access.

What will I be able to do in Aurion?

Standard Enquiry access will allow you to view HR information for all employees within the organisation unit(s) your completed Aurion Access form specifies.

This access includes:

  • Personal details
  • Placement details (current and historical)
  • Training history (Staff Development courses, not online, Blackboard courses)
  • Service history
  • Leave balances and occurrences
  • Superannuation (current and historical)
  • Qualifications
  • Positions
  • Org Unit Availability chart
  • Ability to generate a Leave Occurrence chart for an employee

You will also be given access to generate Aurion Staff General Reports. These include:

  • Organisation and position reports
  • Leave reports
  • Placement and staff reports

What will I not be able to do in Aurion?

Standard Enquiry access will not allow you to view:

  • Emergency Contact details
  • Passport or Visa details
  • Payroll information
  • Allowances or deductions
  • Reports in HR Portal
  • Standard Staff reports in UQ Reportal (Business Objects)

Standard Enquiry access will not allow you to:

  • Update Position Costing
  • Approve Leave or Training requests through MyAurion
  • Approve Timekeeper claims

To update Position Costing, request the Finance Officer access in the "Other Types of Access" in Section E.

To approve Timekeeper claims, your position number must be listed as the Functional Reports To position for the casual.

To approve Leave or Training requests, your position number must be listed as the Functional Reports To position for the employee.

To view reports in HR Portal, request the Timekeeper Reports (HR Portal) access in Section C.

To view staff reports in UQ Reportal (Business Objects), request the Data Warehouse Manager Access (HR Data). You may also have to complete the UQ Reportal's Apply for Access.


How do I learn to navigate Aurion and learn what I can do?

There currently is no face to face Staff Development training course or online training videos. Training documentation for Standard Enquiry access is available in the Aurion Enquiry User Manual.

What do I do if I have a technical problem with Aurion or Citrix?

All issues with Aurion or Citrix should be sent to ITS Support desk by calling ext 56000 (3365 6000 calling from a non UQ phone) or email ITS Help Desk.

What do I do if I require further information about Aurion information?
